Project overview
Insight Tutoring evolved from a public tutoring website into a connected digital learning platform. It now serves roughly 1,000 students across roughly 200 courses and programs, bringing service discovery, booking, member access, course delivery, progress tracking, study guides, and staff workflows into one ecosystem.
Since 2021 the platform has processed more than $547,000 in gross sales across 13,139 transactions and handled more than 14,500 bookings. Annual sessions grew 964% between 2022 and 2025.
The goal was not simply a more polished front end. The experience had to make a complicated tutoring operation feel straightforward to students while giving tutors and staff secure, reliable tools for supporting each session.
The challenge
Different users arrived with very different jobs to complete. New students needed to find the right subject and book quickly. Returning students needed immediate access to courses, progress, and study materials. Tutors needed useful context before a session, while staff needed dependable ways to manage purchases, enrollment, reminders, and corrections.
Those workflows also involved private student information and paid content. The system needed server-side authorization, role-aware experiences, controlled media access, and resilient automation without making the public website feel technical or overwhelming.
The solution
I designed a responsive public website and custom member platform in Wix Studio. High-intent pages guide students toward the right subject, tutoring format, exam-preparation product, booking flow, or membership. After login, the experience shifts into My Courses, a custom Course Player, progress tracking, study guides, and personalized resources.
Wix Velo provides the application layer behind the interface. Secure backend modules verify identity and access before returning private or paid content, while scheduled jobs, commerce rules, SMS workflows, and AI-assisted tutor briefings support the operation behind the scenes.
My contribution
I owned this project end to end as the lead UX designer and developer, from product strategy through ongoing optimization. That covered requirements, user flows, information architecture, visual and responsive design, Wix Studio implementation, Velo frontend and backend development, CMS architecture, booking and commerce integrations, analytics, technical SEO, testing, and iteration after launch.
Design approach
The information architecture centers on four primary jobs: find tutoring, book support, access learning content, and manage the relationship after enrollment. Public navigation keeps Book a Session, Packets, Test Prep, and Courses prominent, while member areas reveal the tools relevant to each student's access.
The interface balances academic confidence with an encouraging, student-friendly tone. Strong blue, generous white space, clear typography, descriptive controls, consistent interaction patterns, and direct calls to action create a predictable experience across desktop and mobile. Responsive layouts preserve the same priority and reading order at every breakpoint, with clear headings, visible focus states, practical contrast, and touch-friendly controls.
UX decisions
Protecting paid learning content
Study guides are paid products, and conventional file hosting produces permanent URLs that can be forwarded. I moved every access check server-side into Velo backend modules. Once member identity, role, and enrollment are verified, the backend returns a short-lived temporary media URL and PDF.js 3.11.174 renders the document onto a canvas. This keeps authorization off the client entirely and never hands a student a durable link to a paid asset, so staff revoke access by changing enrollment rather than rotating files.
Connecting purchases, courses, and bookings
Access can originate from an eCommerce purchase, a Pricing Plan, an offline payment, or a complimentary grant. Manual enrollment for every case would not scale, but full automation would break on the exceptions. I built rules-based automation to match qualifying purchases to the correct student and course, and deliberately preserved a staff correction path for offline payments, comped access, and edge cases. Automation absorbs the predictable majority while people keep authority over the exceptions.
Automating tutor preparation
Tutors were arriving at sessions without context, and staff were relaying goals and history by hand. Scheduled jobs now monitor upcoming bookings and send 48-hour reminders and personalized 24-hour check-ins through the Twilio REST API. I built delivery logging and duplicate prevention before switching the automation on, so failures would be diagnosable rather than silent, and scoped GPT-4o mini to summarizing student, goal, and check-in data staff already had rather than generating new claims about students. The SMS work was staged around A2P 10DLC registration, consent, and opt-out requirements.
Technical implementation
Wix Studio provides the responsive presentation layer, while Wix Velo connects public pages, member experiences, staff workflows, and external services. Custom page code manages inputs, repeaters, loading states, progress indicators, and application behavior through secure backend functions rather than exposing sensitive data through public datasets.
The data model spans more than 12 custom CMS collections for students, private session notes, pre-session responses, courses, modules, lesson items, access permissions, progress, study guides, automation runs, and SMS logs. Backend web modules perform member and role checks, cache appropriate requests, prevent duplicates, and return only the records each user is authorized to view.
The custom learning experience includes My Courses, course navigation, enrollment management, progress tracking, lesson resources, PDF and video viewing, and a protected study-guide workflow. After access is verified, PDF.js 3.11.174 renders approved documents onto canvases from temporary media URLs, avoiding permanent student-facing file links.
Paid access connects Wix eCommerce, Pricing Plans, and manual enrollment. Rules-based automation matches qualifying purchases to the correct student and course, while staff retain a correction path for offline payments, complimentary access, or exceptions.
Integrations
Wix Bookings connects tutoring appointments with student records and pre-session workflows. Scheduled jobs monitor upcoming bookings, match them to students, prevent duplicate messages, and keep activity logs for troubleshooting.
The Twilio REST API powers automated 48-hour booking reminders and personalized 24-hour check-ins. The workflow includes delivery logging and was staged around A2P 10DLC registration, consent, opt-out, and carrier-compliance requirements.
The OpenAI API uses GPT-4o mini to generate on-demand tutor briefings from approved student, goal, check-in, and session information. Credentials and requests remain in backend code. GA4, Google Search Console, and Google Tag Manager support behavior analysis, conversion tracking, indexing, and ongoing optimization.
SEO work
I restructured high-intent tutoring and subject journeys around the language University of Arkansas students use when searching for help. The work combined clearer content hierarchy, descriptive headings, metadata, internal linking, technical cleanup, conversion-focused copy, and ongoing review in GA4 and Google Search Console.
Results
The platform has processed more than $547,000 in gross sales across 13,139 transactions since 2021, and the connected booking system has handled more than 14,500 bookings, of which 85.9% reached confirmed status against an 8.7% cancellation rate.
During the ongoing design, development, SEO, and optimization program, gross sales grew 593% and annual sessions grew 964% between 2022 and 2025, with growth recorded in every completed year of that period. Annual gross sales moved from $25,410 in 2022 to $58,570 in 2023, $124,335 in 2024, and $176,187.50 in 2025. Annual sessions moved from 1,259 to 3,481, then 7,688, then 13,396 across the same years.
97.5% of recorded sessions came from unpaid channels. Paid search and paid advertising together account for 2.5% of all sessions since launch, so the audience was built rather than bought.
